AVAYA IP Office has two options for voicemail. The first is embedded which comes at standard with IP Office and the second is the Voicemail Pro.
Embedded Voicemail
With the embedded voicemail all extensions are automatically assigned a mailbox. Embedded voicemail also provides:
- A 2-port single level Automated Attendant.
- Separate morning, afternoon, evening and out of hours menu greetings with time profiles.
- Dial by name capability.
- Variable hours of storage: 2-ports = 15 hours storage; 4-ports = 20 hours; 6-ports = 25 hours.
- Up to three minutes per message.
- Fast forward, rewind, replay and skip capability.
- Voicemail to email capability.
- Remote message retrieval.
- Visual messaging (on digital telephones only).
- Voicemail breakout/ personal auto-attendant: Up to three breakout numbers can be setup. When callers are directed to a mailbox they have the option to leave a message or be transferred to one of three numbers.
- No license required.
Call Screening
Call screening provides the user with the opportunity to decided whether or not to take a call without the caller knowing. A call is placed and then answered by the voicemail system. The user can then hear the caller thorugh the phone speaker and decided whether to answer the call or drop and continue to let the voicemail system handle it.
IP Office Voicemail Pro
Voicemail Pro is enabled by the IP Office Preferred Edition and is the most advanced messaging and call flow application for IP Office systems. Depending on license and system settings Voicemail Pro can handle up to 40 simultaneous cals. When active the system automatically answers a users telephone when they are unavailable, plays a personal greeting and then records a message. Voicemail Pro can also ring the user to deliver any new messages. Voicemail messages are time and date stamped with the callers number recorded.
When a voicemail needs to be forwarded to other users Voicemail Pro provides many options:
- Voicemails can be forwarded to another mailbox or group of mailboxes.
- Recipients can add their comments tothe voicemail before forwarding to another mailbox or mailboxes.
- Voicemails can be forwarded as email WAV attachments.
The key features of Voicemail Pro include:
- Personal voicemail box for users and hunt groups.
- Extended personal greetings to customize the information presented to a caller based upon the availablitiy of a user.
- Enables mobile messaging integration e.g. Blackberry when used with exchange server integration.
- Voicemail Pro client, a graphical user interface for programming and configuring applications both locally and remotely.
- Access and control of voicemail via the digital or IP phone display using Visual Voice.
- Broadcast group messages.
- Automatic and on demand call recording with an option for ContactStore search and replay of saved messages.
- Text to speech facilties to allow emails to be read out over the telephone and/or for database information to be read to a caller in 14 languages.
- Centralized Voicemail within a multi-site IP Office environment.
Email Integration
Integration with email systems is provided by the Voicemail Pro Unified Messaging Service (UMS) which is delivered to eligible users as part of the Office Worker, Teleworker or Power User license. This enables Voicemail Pro to interact with email systems to provide a synchronization of voicemails and their status between all users devices for example desk phones, mobile phones and other devices that are sychronized with users email account. This works for email clients that use the IMAP4 protocol (for example MS Outlook, Lotus Notes and many others).
Voicemail Pro Resilience and Backup
For most businesses now uninterrupted custoemr service is essential e.g. for customer wanting to place orders. A failure in this type of environment can be very expensive for the business and there are a number of reasons why a failure can occur for exmapel power outage, lost network conneciton, cable cuts and so on. With the IP Office resilience and back up functionalities supported by Voicemail Pro loss of money and reputation will no longer follow such a failure. A Voicemail Pro server connected to a Primary IP Office can automatically re-connect to a back up IP Office if the connection between the two IP Office systems gets lost. A Preferred edition license is required on the back up IP Office system for this scenario. A back up Voicemail Pro server, which was introduced with Release 6.0, offers additional comprehensive functionalities to keep the business communication up and running.

Unified Messaging Service (UMS)
AVAYA's UMS provides the integration of Voicemail Pro with email systems. This enables users to manager their vociemail messages by using the device of their choice including email client or a mobile phone. UMS is licensed on a per user basis as part of the IP Office Power User, Teleworker and Office Worker.
